Clean Data Services PLC ("we", "our", or "us") is a data quality and governance consultancy registered in Addis Ababa, Ethiopia, and is the controller of the personal data described in this policy.

We collect information you choose to give us when you:

• Submit our contact form: full name, company, email, phone, country, how you heard about us, and your message
• Subscribe to our newsletter: your email address and when you confirmed your subscription
• Download a Clean Perspectives PDF: your email, company, area of interest, and the title downloaded
• Request your Data Health Scorecard report: your name, organisation, email, organisation type, and your scorecard results. If you only view your score, your answers stay in your browser and are not sent to us
• Book a briefing through our calendar (see "Appointment scheduling" below)
• Contact us directly by email, phone or WhatsApp

When you use our forms, Cloudflare Turnstile processes technical information (such as your IP address and browser characteristics) to check that the submission comes from a person rather than a bot. If you accept analytics cookies, Google Analytics collects information about how you use our site (see section 7).

We do not collect sensitive personal data (such as health data, financial data, or government IDs) through our website.

Where data protection law requires a legal basis (for example, the GDPR for visitors in the European Economic Area), we rely on:

• Consent: newsletter subscriptions (confirmed by email) and analytics cookies. You can withdraw consent at any time.
• Legitimate interests: responding to your enquiries, providing requested downloads, understanding interest in our content, and protecting our website from abuse
• Legal obligation: complying with applicable laws and regulations

We use the following service providers to run our website and communications. They process personal data on our behalf, under contracts that require them to protect it.

Some providers are located outside Ethiopia and the European Economic Area. Where data is transferred internationally, it is protected by appropriate safeguards such as the European Commission's Standard Contractual Clauses or equivalent mechanisms.

Third-party appointment scheduling (Calendly)

When you choose to schedule an architecture briefing or demo through our website, we use Calendly (Calendly, LLC) to manage calendar availability and meeting coordination. Our booking pages do not load anything from Calendly until you click to open the calendar. Interacting with the booking interface then loads services hosted directly by Calendly, which may collect technical information (such as your IP address, browser type, and operating system) and place necessary session cookies to complete the scheduling process. Personal information you submit during booking (such as your name, work email address, and organisation details) is processed by Calendly in accordance with its Privacy Notice and shared with Clean Data Services PLC exclusively for the purpose of preparing and conducting your scheduled session.

We may also disclose information if required by law, or to protect the rights, property, or safety of Clean Data Services, our clients, or others.

All data is transmitted over encrypted connections (HTTPS/TLS). Access to stored personal data is restricted to authorised team members, and we apply appropriate technical and organisational measures to protect it against unauthorised access, alteration, disclosure, or destruction.

We only use analytics cookies if you accept them in our cookie banner. If you reject them, or haven't chosen yet, Google Analytics is not loaded at all. We do not use advertising cookies.

You can change your choice at any time: Cookie Settings.

Depending on where you live, you may have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Have your data deleted
• Restrict or object to our processing of your data
• Receive your data in a portable format
• Withdraw consent at any time (for example, by unsubscribing or changing your cookie settings)

To exercise these rights, contact us at contact@cleandataservices.com. We will respond within 30 days. You also have the right to lodge a complaint with your local data protection authority.

• Contact form enquiries: up to 24 months from receipt, then deleted
• PDF download requests: up to 24 months, then deleted
• Scorecard report requests and briefing bookings: up to 24 months, then deleted
• Newsletter subscriptions: until you unsubscribe; we then keep only a record that you unsubscribed, so we don't email you again
• Analytics data: according to the retention period configured in Google Analytics

Our website links to third-party websites and services (e.g., LinkedIn, Facebook and WhatsApp). If you message us on WhatsApp, WhatsApp (Meta) processes that conversation under its own terms. We are not responsible for their privacy practices and recommend that you review their privacy policies.

Our services are not directed at children under the age of 16, and we do not knowingly collect their personal data. If you believe a child has provided us with personal information, please contact us at contact@cleandataservices.com.

We may update this Privacy Policy to reflect changes in our practices or applicable law. The date of the most recent revision is shown at the top of this page.
